🌱
Welcome to Module 4: Building Your VA Business
Modules 1 to 3 gave you the skills. Module 4 turns those skills into a business. Over 6 lessons you will set up your operations, find your first clients, manage your workflow, and position yourself for long-term growth. Let's build.
1What Is It?

Your VA Business: The 5 Foundations You Need Before You Take Any Client

Open with the "before the clients come" framing
A lot of people make the mistake of looking for clients before they have built the basic structure of their business. They get a lead, panic, and either undersell themselves or look unprepared. What we are doing in this lesson is making sure that never happens to you.

Before you get your first client, there are 5 things you need to have clear. Once these 5 are in place, you are ready to confidently say: yes, I am a Virtual Assistant, here is what I do, here is my rate, and here is how we work together.

These 5 foundations are: your niche, your services, your rate card, your business home base (your digital infrastructure), and your professional bio. Let us go through each one.
01
Your Niche
Who you serve and in what industry. The clearer your niche, the easier it is to attract the right clients.
02
Your Services
Exactly what you offer, packaged into clear, understandable deliverables. Not a vague list, real packages.
03
Your Rate Card
What you charge, by what model (hourly, monthly retainer, per project). Knowing this before you are asked is non-negotiable.
04
Your Home Base
Your essential business tools, accounts, and folder system. The back-end infrastructure that makes you run smoothly.
05
Your Professional Bio
A 3 to 4 sentence bio that clearly explains who you help, how you help them, and what makes you different.
2Why Do I Need It?

Why Setup Matters: The Difference Between a Hobbyist and a Professional

Drive home why preparation is directly tied to income and confidence
Here is the truth. Two VAs can have exactly the same skills. The one who has done the setup work in this lesson will earn more, attract better clients, and feel more confident in every conversation. The one who has not done this work will hesitate, underprice, and take on the wrong clients because they are desperate.

Preparation is professionalism. And professionalism is what Nigerian clients, especially coaches, consultants and business owners, are willing to pay premium rates for. They do not just want someone who can do tasks. They want someone who runs their business like a business.

This lesson is the foundation that everything else in Module 4 builds on. If you skip it, every other lesson will be harder.
💡
The niche myth Many beginners resist picking a niche because they are afraid of narrowing their options. The opposite is true. A VA who helps "Nigerian coaches with their social media and content creation" will attract clients faster than one who "helps anyone with anything." Specificity is a magnet, not a limitation.

Foundation 1 and 2: Choosing Your Niche and Building Your Services

Walk through niches that work well for Nigerian VAs, then show a real service package
Let me show you some of the most profitable niches for VAs in Nigeria right now, and what services make sense in each one. Then I am going to show you what a real service package looks like, including the dollar equivalent so you can see what the same work is worth to a foreign client.

High-demand niches for Nigerian VAs
Niche Who they are Services they need most Rate potential
Coaches and consultants Life, business, health and career coaches; strategy consultants Email management, content creation, social media, course admin, CRM High (they value time)
Online course creators People selling courses on Selar, Gumroad, Teachable Student support, content scheduling, email sequences, community management High (recurring work)
Real estate agents Independent agents and small real estate firms Lead management, social media, listing write-ups, appointment scheduling Medium to high
E-commerce businesses Online stores (Jumia sellers, Instagram shops, Flutterwave stores) Customer service, order tracking, product descriptions, social media Medium (volume-based)
Diaspora Nigerian businesses Nigerian entrepreneurs in the UK, US, and Canada Admin support, research, scheduling, email and calendar management Very high (paid in foreign currency)
Content creators and influencers YouTubers, podcast hosts, Instagram and TikTok creators Content research, caption writing, scheduling, inbox management, brand deals admin Medium (very relationship-driven)

The foreign currency opportunity: same work, 10x the pay Look at the dollar equivalents above. A Growth Package worth ₦150,000/month to a Nigerian coach is just $94 USD, which is a very affordable rate for a UK or US client. Many diaspora entrepreneurs pay $300 to $500/month for the same scope of work because that is the going rate in their market. You do not need to undercharge just because you are based in Nigeria. Start at a rate that reflects your value, not your postcode.

4Let's Do It

Foundations 4 and 5: Your Home Base and Your Professional Bio

Walk through the essential setup: tools, accounts, folder system, then the bio formula
Foundation 4 is your business home base. This is the collection of tools and systems that make you operational from Day 1. Here is the minimum you need: a professional Gmail address (firstname.lastname.va@gmail.com or your brand name), a Google Drive folder system for client work, a Notion or Google Sheets project tracker, a payment account (Selar, Paystack, or a bank account for transfers), and a simple portfolio document, even a single Google Doc or a basic Canva PDF is fine for a first-time VA.

Foundation 5 is your professional bio. I am going to show you the exact formula. Fill in the blanks.

Formula: "I am [name], a Virtual Assistant specialising in [niche]. I help [target client type] with [2 to 3 services] so that they can [outcome: focus on X, grow their Y, or stop doing Z]. I use [1 to 2 tools or differentiators, e.g. AI-powered tools, Canva, ChatGPT] to deliver [quality word: fast/professional/consistent] results."

Example: "I am Doris, a Virtual Assistant specialising in digital support for Nigerian coaches and course creators. I help busy coaches with email management, social media content, and course admin so they can focus on their clients and grow their impact. I use AI-powered tools including ChatGPT and Canva to deliver professional, consistent results."

That bio works on LinkedIn, WhatsApp, Instagram, and in a proposal. Learn it. Personalize it. Own it.

Minimum business home base checklist
  • Professional Gmail address created (firstname.lastname.va or your VA brand name)
  • Google Drive set up with folders: CLIENTS, TEMPLATES, ADMIN, LEARNING
  • Notion or Google Sheets task tracker created
  • Payment method ready (Selar, Paystack, or bank details for transfers)
  • Simple portfolio document started (at least one sample project, real or practice)
  • Professional bio written using the formula above
  • WhatsApp display name and status updated to reflect your VA business
5Now You Try

The 45-Minute VA Business Setup Sprint

Run the setup sprint: students complete all 5 foundations in one session
You have 45 minutes. By the end of this sprint, all 5 of your business foundations should be in place. Work through each one in order and move on when it is done. Perfection is the enemy here: a clear, specific first draft beats a vague, beautiful polished version you never finish.

Step 1: Write your niche statement. One sentence. "I help [specific type of client] with [specific services]." Step 2: List your services and choose the package structure that fits where you are now (Essentials, Growth, or Full Support, or create your own). Step 3: Set your rates. Write 3 numbers: your hourly rate, your monthly retainer rate, and your per-project rate for the service you most want to offer. Step 4: Open Google Drive and create your 4 folders. Step 5: Write your bio using the formula. Use ChatGPT to help you refine it, or use the prompt in the Prompt Library tab.
🧠
Use AI to write your bio: this is exactly what it is for Open ChatGPT. Paste this prompt: "Help me write a 3-sentence professional bio for a Virtual Assistant. Here are my details: [paste your niche, services, tools, and the outcome you deliver for clients]. Make it sound confident, warm, and specific. Do not use vague phrases like 'passionate' or 'dedicated.'"

Lesson 13 Assignment

📋
This lesson's assignment Create your VA Business Foundations document: a single Google Doc containing all 5 of your business foundations, completed and ready to use.
  • 1

Open a Google Doc titled "My VA Business Foundations." This document is your single source of truth for your business. You will refer to it constantly.

  • 2

Add a section for each of the 5 foundations: Niche, Services and Packages, Rate Card, Home Base Setup, and Professional Bio. Fill each section completely using the frameworks from this lesson.

  • 3

For your Services and Packages section: write out at least 2 service packages with real names, prices, and what is included. Use the Canva AI or Google Docs formatting to make it look professional, because this document may one day become a proposal.

  • 4

For your Rate Card: write 3 to 5 services with your rate for each. Use the rate card examples from this lesson as a guide, but adjust them for your experience level and target client.

  • 5

For your Bio: use the formula and refine it with ChatGPT (use the prompt in the Prompt Library). Paste both the raw draft and the AI-refined version into your document. Keep both: you will see how far your instincts have already taken you.

7What Did You Create?

Your VA Business is Now Official

Close with real momentum: they have just done what most people never do
Think about what you just built. Most people who call themselves a VA have never written down their niche, never built a proper package, and have no idea what rate to say when a client asks. They are winging it.

You are not winging it. You have a niche statement, a service menu, a rate card, a home base, and a professional bio. That is a business. It may not have clients yet, but it is a real, structured, professional business. Lesson 14 is about creating your digital presence, which is how that business becomes visible to the world. Let's go.
  • "My VA Business Foundations" Google Doc created and saved in Drive
  • Niche statement written (one clear, specific sentence)
  • At least 2 service packages with names, prices, and inclusions
  • Rate card with 3 to 5 services and their prices
  • Google Drive folder structure created (CLIENTS, TEMPLATES, ADMIN, LEARNING)
  • Professional bio written and AI-refined
  • WhatsApp status and display name updated

Create Your VA Business Foundations Document

⏱️
Time: 45 to 60 minutes Output: a completed "My VA Business Foundations" Google Doc saved in your Drive, plus your folder structure, professional email, and WhatsApp update done.

Part 1: Create the Document

  • 1

Open Google Docs. Create a new document. Title it exactly: "My VA Business Foundations." Save it in Google Drive under a folder called ADMIN (create this folder now if it does not exist).

  • 2

Set up 5 sections with these headings: 1. My Niche, 2. My Services and Packages, 3. My Rate Card, 4. My Home Base, 5. My Professional Bio. Use Google Docs heading styles (Heading 2) for each one so the document is well structured.

Part 2: Fill Each Section

  • 1

My Niche: Write your one-sentence niche statement (I help... with... so that...). Then write 2 to 3 sentences explaining why you chose this niche and what gives you an edge in serving this group.

  • 2

My Services and Packages: List your 4 to 6 services, then build at least 2 packages. Name each package, write what it includes, and set the monthly price. Format this as a simple table in Google Docs.

  • 3

My Rate Card: Create a table with 3 columns: Service Name, Description, Rate. Fill in 4 to 6 rows. Include your hourly rate, at least one monthly retainer option, and your diaspora/foreign-currency rate if you plan to serve clients abroad.

  • 4

My Home Base: List your professional email address, your Google Drive folder structure (screenshot and paste it in), your payment method, and the tools you use daily (Gmail, Google Docs, ChatGPT, Canva, etc.).

  • 5

My Professional Bio: Write your first draft using the formula. Then open ChatGPT, use the bio prompt from the Prompt Library, and paste the AI-refined version below your draft. Keep both.

Part 3: Complete Your Home Base Setup

  • 1

If you have not yet created a professional Gmail address, do it now. Use firstname.lastname.va@gmail.com, or your VA brand name if you have one. This is the email address you will use for all client communication going forward.

  • 2

Create the 4 Google Drive folders: CLIENTS, TEMPLATES, ADMIN, LEARNING. Inside ADMIN, place your "My VA Business Foundations" document. Inside TEMPLATES, place any document templates you create during this course.

  • 3

Update your WhatsApp: change your display name to your name plus "| Virtual Assistant" or your VA brand name. Update your status to reflect your services (example: "Digital VA helping Nigerian coaches manage their business and content. DM for enquiries.").

🌱
Lesson 13 Complete!
Your VA business is officially set up. Five foundations, one document, ready to go. Lesson 14 is all about making your business visible: your digital presence and portfolio.

Lesson 13 Prompt Library

📖
Add to your Prompt Library Google Doc Open your "My AI Prompt Library" document, add the heading "Lesson 13: VA Business Setup," and paste all five prompts below.

VA Business Setup Prompts

Prompt 1: Write or refine your professional VA bio
"Help me write a professional 3-sentence bio for a Virtual Assistant. Here are my details: Name: [your name]. Niche: [who you help and in what area, e.g. Nigerian coaches and course creators]. Services: [your 2-3 main services, e.g. email management, social media content, and course admin]. Outcome: [what your clients gain, e.g. they can focus on their clients instead of their inbox]. Tools: [any tools that make you stand out, e.g. ChatGPT, Canva, Notion]. Make the bio sound confident, warm, and specific. Avoid vague phrases like 'passionate,' 'dedicated,' or 'hard-working.' Write it in the first person."
Use this in ChatGPT. Paste the output back into your workbook and your VA Business Foundations document. This bio will go on your LinkedIn, your WhatsApp, and into every proposal you send.
Prompt 2: Build a service package for a specific niche
"I am a Virtual Assistant specialising in [your niche]. Help me design 3 tiered service packages (Starter, Growth, and Premium) for [type of client, e.g. Nigerian life coaches]. Each package should include specific services, a recommended monthly price in Nigerian Naira AND the equivalent in USD (using ₦1,600 = $1), and a short 1-sentence description of who that package is best for. The services should draw from: [list the services you can offer]. Present the output as a clean table with 5 columns: Package Name, Who It's For, Included Services, Naira Price, USD Equivalent."
Use this when building your first service packages. Replace the placeholders with your own niche and services. The output will give you a ready-to-present package structure you can copy into a proposal.
Prompt 3: Research what VA services are in demand in your niche
"I am considering becoming a Virtual Assistant for [niche, e.g. Nigerian online course creators who sell on Selar and Teachable]. What are the top 8 tasks and pain points that business owners in this niche typically struggle with or want to outsource? For each one, explain why it is a pain point and what a VA could do to solve it. Present this as a numbered list with the pain point first and the VA solution below it."
Run this prompt before you finalise your service list. It ensures your packages are built around real client problems, not just skills you happen to have.
Prompt 4: Create a VA rate card for the Nigerian market
"I am a Nigerian Virtual Assistant with skills in [list your skills, e.g. email management, content writing, Canva design, ChatGPT-assisted research, social media management]. Help me create a professional rate card for the Nigerian market. Include: an hourly rate, a monthly retainer rate for general VA work, and per-project rates for at least 4 specific services. Also include a converted rate in USD and GBP for serving diaspora clients. Present this as a table with 3 columns: Service, Nigerian Rate (NGN), and Diaspora Rate (USD/GBP)."
Use today's exchange rate when converting. Update this document quarterly as your experience grows and as exchange rates change. Your rates should increase as your portfolio builds.
Prompt 5: Write a WhatsApp status or short pitch for your VA business
"Write 3 versions of a short WhatsApp status (under 139 characters each) for a Nigerian Virtual Assistant who specialises in [niche]. The status should quickly communicate what the VA does and invite people to enquire. Make each version slightly different in tone: one professional, one conversational, and one that leads with a result or outcome rather than a job title."
Choose the version that sounds most like you. Update your status after every major skill gain or new service you add. Your WhatsApp status is free marketing to everyone in your contact list.
